Dissertation Submission Requirements - Mortensen Library
  • As part of the requirements for graduation, Doctor of Education (EdD) students must submit a minimum of one (1) paper copy of their dissertation to the University Libraries.
  • In addition, EdD students must submit their dissertation electronically to ProQuest/UMI, for microfilming.

Binding
As part of the requirements for graduation, EdD students must submit a minimum of one (1) paper copy of their dissertation, to the Mortensen Library Technical Services Department.
  • The one (1) copy required to be submitted will be bound and retained by the library. Once bound, the copy will be held in the University Archives.
  • Students may submit additional copies to be bound at this time, in order to meet any academic department requirements, to obtain any copies required by advisors, and/or to obtain copies for personal use. Students must check with their department to see what their guidelines are.
  • Copying of theses and dissertations is available through the University's Copy Shoppe in Hillyer 131. The library does not have copying services available.
Binding – Format & Printing
Each copy must:
  • Be single-sided.
  • Have a 1" margin all around, per departmental/APA guidelines.
  • Contain a title page, which includes the student’s name, title of the thesis/dissertation, the degree earned, and the year.
  • Be approved and signed by all advisors, and the signature/approval page must be included in each copy. Note: Only one (1) original page of signatures is required; the rest can be photocopies.
  • Be diligently reviewed by the student, prior to submission, to ensure that pages are not out of order, or missing. Library staff cannot go through every thesis or dissertation to ensure that all pages are present and in the correct order. Items are bound exactly as they are received.
  • Be printed on acid-free paper. Students are allowed to print their personal copies on non-acid-free paper if they wish. However, if students choose to do this, the one (1) copy intended for library use MUST be printed on acid-free paper, and this copy must be clearly labeled, so that the library can retain the correct copy.
Binding – Costs
Please see the Binding Form for costs and fees. Extra fees will be charged for submissions which:
  • are printed on glossy/photo paper.
  • require a pocket.
  • include fold-out(s).
  • are larger than 8.5" x 11".
Note: These fees vary, so please contact Cyndi Adamo at the library for pricing.
Binding – Payment
  • Payment must be made at the time when the student submits their thesis/dissertation to the library for binding.
  • Bindery payments should be made via personal check or money order, payable to Mortensen Library, for the exact amount due.
  • A copy of the Binding Form will be provided to students as proof of submission and payment.
Binding – Verification of Thesis/Dissertation Submission
  • At the time that students submit their copies, email and/or mail verifications will be sent to their appropriate advisors.
  • In no way does this imply that the library "approves students for graduation". Library staff is simply notifying academic departments that graduate and doctoral candidates have met their requirements of thesis binding.
Binding – Services & Timeline
  • The University Libraries offer thesis/dissertation binding services through Ridley's Book Bindery, in Ithaca, NY.
  • Depending on when a student drops off his or her thesis or dissertation, it may take four (4) to eight (8) weeks for bound copies to be returned. Students should plan submission of their thesis or dissertation copies accordingly.
  • Students will receive an email notification when their materials are ready to be picked up, along with instructions about the pickup location (which, usually, is the Mortensen Circulation Desk).
Electronic Submission of Dissertation
  • All Doctor of Education students must submit their dissertations electronically for microfilming to ProQuest/UMI, in addition to having copies bound, as it is part of their degree requirements.
  • Please note that ProQuest/UMI hosts the submission website, and processes approved submissions for microfilming/publishing.

Steps for Electronic Submission
1. Create a PDF of your work, if you have not already done so.
  • Save all your work into one file, and embed your fonts, and/or make sure you have used TruType fonts, prior to conversion. You may also wish to review the PDF Questions section on the submission website, to be sure your pre-PDF fonts and formats will convert correctly.
  • If you have additional items which cannot be incorporated into the main file, you will be able to upload them as supplemental files.
  • Students do not need to upload the department approval signature page; it is preferred that students refrain from uploading this page.
  • There is a Word to PDF Converter on the submission website. (You may be asked to create an account, prior to being able to use the PDF converter).
2. Follow the instructions on the submission website. You will be asked to:
  • Create an account, using your email, and your preference of password, if you have not already done so.
  • Choose the publishing option that you prefer.
  • Accept the Publishing Agreement terms and conditions.
  • Enter contact information for yourself.
  • Enter information about your dissertation, your advisor’s names, and your dissertation abstract.
  • Upload the PDF of your dissertation.
  • Upload any supplemental files.
  • Choose if you would like to have ProQuest/UMI file for copyright on your behalf.
  • Decide if you would like to order any personal copies of your dissertation through ProQuest/UMI.
    Note: Ordering bound copies through ProQuest/UMI is optional, and is not in any way related to the process of delivering copies of your dissertation to the library for binding.
  • Carefully review your submission. Check the PDF file, and any supplementary files, for accuracy and completeness. Check your contact information, your dissertation information, and your publishing option preferences.
  • Pay ProQuest for your submission.  The basic fee for publishing/microfilming is $65.  The Copyright Registration option and the Open Access Publishing option both incur additional fees, as noted on the submission website.
  • Finalize your submission.
  • Once you have submitted your work, you will be sent a confirmation email.

Office Hours & Location
Theses and dissertations (with the exception of Music) that meet all library and departmental requirements should be brought to Cyndi Adamo, at Mortensen Library's Technical Services Department.
  • The Technical Services department is located on the lower level of the library.  Once you are down the stairs, the office is on your left.
  • Office hours are 8:30am to 4:00pm, Monday - Friday.
