Thesis, Essay, and Dissertation Binding Requirements

Note: As part of the requirements for graduation, graduate students must submit copies of their theses, essays, or dissertations to the University Libraries. All theses and dissertations must be approved and signed by all advisors before the libraries will accept them. Students completing their thesis or dissertation should read the following for complete information and instructions on how to submit their materials for binding, microfilming, and copyright registration.

Binding
The University Libraries offer thesis and dissertation binding services through ACME Bookbinding in Charlestown, MA. As part of the requirements for graduation, graduate and doctoral students must submit for binding a minimum of two (2) copies of their dissertation, essay, or thesis on acid-free paper to the Allen Library Technical Services Department. Documents must be single-sided for all Hartt degrees except composition, which may be double-sided. One copy will be added to the circulating collection and the other will be held in the University Archives. Additional copies may be bound at the same time for the academic department, advisors, or for personal use. Students must check with their departments to see what their guidelines are.
Library copies must be on acid-free paper. Acid-free paper is sometimes called "archival" paper. It does not yellow or deteriorate, which is why it is required for at least the two copies being retained by the library. If students make some copies on acid-free paper and personal copies on regular paper, the library asks that they clearly mark which copies are acid-free and which are not so that the library can retain the correct copies.
Theses, essays, and dissertations must be approved and signed by all advisors before the library will accept them. The signature or approval page must be included in all copies. Only one original page of signatures is required; the rest may be photocopies.
Copying of theses and dissertations is now a service available through the University's Copy Shoppe in Hillyer 131.
Before submitting thesis or dissertation copies for binding, students should diligently check EACH copy to be sure that the pages are not out of order or missing. Library staff cannot go through every thesis or dissertation to ensure that all pages are present and in the correct order. Items are bound exactly as they are received.

Costs and Payment
The cost for binding each copy of a 8 1/2" x 11" thesis or dissertation is $15 for gold lettering on the spine. The cost for binding each copy of an 8 1/2" x 14" music score is $20.00 with gold lettering on the spine and for an 11" x 17" music score $30.00 with gold lettering on the spine. Add $10 for gold lettering on both the spine and cover. The color of the leather used in binding is black.
University Libraries can accept cash, personal checks or money orders (for the exact amount due) as payment for binding. Debit cards, credit cards, and university ID accounts are not accepted forms of payment. Payment is due at the time students drop off their copies.
Personal checks and money orders should be made payable to "Allen Memorial Library".
Copies of the Thesis/Dissertation Binding Form will be provided to students as their receipt of drop off and payment. Contact information and return delivery dates will be included.

Office Hours and Location
Theses and dissertations that are signed, on acid-free paper, copied single-sided (music compositions may be double-sided) and in correct page order, should be brought to Brooke Lippy at the Allen Library between 10am and 4pm Monday - Friday. If you wish to drop off earlier or later, please contact Brooke at 860.768.4404 so that drop off at a time convenient to you can be arranged. Students will be asked to complete the Thesis/Dissertation Binding Form when they drop off their thesis or dissertation.

Binding Timeline
The bindery picks up and returns items every four weeks. Therefore, depending on when a student drops off his or her thesis or dissertation, it may take 4-7 weeks for bound copies to be returned. Students should plan submission of their thesis or dissertation copies accordingly.

Picking up Thesis/Dissertation Copies
Students are told the date that their bound theses and dissertations will be returned when they drop off their copies for binding. Students will receive an email notice when their materials are ready to be picked up, along with instructions about the pickup location (which, usually, is the Allen Circulation Desk). Students who are not able to pick up their bound materials should request a friend or faculty advisor to pick them up. The Allen Library cannot ship these items.

Microfilming
All doctoral candidates (except music composition) MUST have their dissertations microfilmed. Microfilming is done by Proquest/UMI (University Microfilms) in Ann Arbor, MI.
The Dissertation Binding\Microfilming Agreement form must be completed and signed at the time the dissertation is submitted for binding. Cost of microfilming is $55. Please bring a personal check or money order made payable to "PQIL". Cash cannot be accepted as payment for microfilming. Also needed for microfilming are an extra copy of the title page and abstract (350 words or less). These copies will not be returned to the student.
**New Open Access option: Students can choose this option to make their dissertations available full text online to anyone.  Students should note that by choosing this option they will not be eligible for royalties. There is an additional $95 charge to take advantage of this option.
Students do NOT need to submit a separate paper copy of their dissertation for microfilming. The library will use one of its two copies for this purpose.

Copyright
Proquest/UMI can apply for copyright registration on behalf of the student for an additional $65 fee. Students who want this service should bring a check or money order payable to "PQIL" in the amount of $120 (this includes microfilming). Students may wish to apply for registration on their own through the United States Copyright Office.
Hartt students note: Dissertations which include musical examples may require copyright permissions.
Questions regarding copyright should be addressed to Proquest/UMI, the United States Copyright Office, or faculty advisors. Library staff cannot advise students whether or not to register their work for copyright.


RILM Abstracts
It is recommended that dissertations on music topics be indexed and abstracted in RILM Abstracts. A form may be submitted online. You may also consult How To Write a RILM Abstract. Contact Brooke Lippy at 860.768.4404 for additional information.
