Binding
As part of the requirements for graduation, graduate and doctoral students must submit a minimum of two (2) copies of their thesis/dissertation, to the Mortensen Library Technical Services Department.
  • The two (2) copies required to be submitted will be bound and retained by the library. Once bound, one copy will be added to the circulating collection and the other will be held in the University Archives.
  • Students may submit additional copies to be bound at this time, in order to meet any academic department requirements, to obtain any copies required by advisors, and/or to obtain copies for personal use. Students must check with their departments to see what their guidelines are.
  • Copying of theses and dissertations is available through the University's Copy Shoppe in Hillyer 131. The library does not have copying services available.
Binding – Format & Printing
Each copy must:
  • Be single-sided. Musical Compositions may be double-sided.
  • Have a 1.25” left-hand margin, to accommodate the binding process.
  • Contain a title page, which includes the student’s name, title of the thesis/dissertation, the degree earned, and the year.
  • Be approved and signed by all advisors, and the signature/approval page must be included in each copy. (Only one original page of signatures is required; the rest can be photocopies).
  • Be diligently reviewed by the student, prior to submission, to ensure that pages are not out of order, or missing. Library staff cannot go through every thesis or dissertation to ensure that all pages are present and in the correct order. Items are bound exactly as they are received.
  • Be printed on acid-free paper. Students are allowed to print their personal copies on non-acid-free paper if they wish. However, if students choose to do this, the two (2) copies intended for library use MUST be printed on acid-free paper, and these copies must be clearly labeled, so that the library can retain the correct copies.
Binding – Costs
Please see the Binding Form for costs and fees. Note: Extra fees will be charged for submissions which:
  • are printed on glossy/photo paper.
  • require a pocket.
  • include fold-out(s).
  • are 12” or more, in height and/or width.
Note: These fees vary, so please contact Cyndi Adamo at the library for pricing.
Binding – Payment
  • Payment must be made at the time when the student submits their thesis/dissertation to the library for binding.
  • University Libraries can accept personal checks or money orders as payment for binding. Note to Doctoral Students: For microfilming payment information, please see the Microfilming Form.
  • Bindery payments should be made via personal check or money order, payable to Mortensen Library, for the exact amount due.
  • A copy of the Binding Form will be provided to students as proof of submission and payment).
Binding – Verification of Thesis/Dissertation Submission
  • At the time that students submit their copies, they will receive three copies of the Doctoral/Masters signoff sheet. They are responsible for submitting these to their division director and the Associate Dean of the Hartt School.
  • In no way does this imply that the library "approves students for graduation". Library staff is simply notifying academic departments that graduate and doctoral candidates have met their requirements of thesis binding.
Binding – Services & Timeline
  • The University Libraries offer thesis/dissertation binding services through Ridley's Book Bindery, in Ithaca, NY.
  • Depending on when a student drops off his or her thesis or dissertation, it may take four (4) to eight (8) weeks for bound copies to be returned. Students should plan submission of their thesis or dissertation copies accordingly.
  • Students will receive an email notification when their materials are ready to be picked up, along with instructions about the pickup location. Materials cannot be shipped or mailed.
Microfilming/Copyright Registration (Doctoral Students) 
  • All doctoral students (except music composition) must have their dissertations microfilmed, in addition to having copies bound, as it is part of their degree requirements.
  • Students may wish to consult the Binding Form and Microfilming Form to help them through this process.
Microfilming
  • Microfilming is done by ProQuest/UMI (University Microfilms) in Ann Arbor, MI.
  • Please see the Microfilming Form for costs and payment information.
  • The ProQuest/UMI Publishing Agreement Form must be completed and signed at the time the dissertation is submitted for binding/microfilming.
  • Students must supply an extra copy of their dissertation’s title page and abstract. These copies will not be returned to the student.
  • Students do NOT need to submit an entire separate paper copy of their dissertation for microfilming. One of the two (2) paper copies submitted for binding and intended for library retention, will be used for this purpose.
  • Students have the option of choosing Open Access publishing, thereby making their dissertations available in full text, online, to anyone. Students should note that by choosing this option they will not be eligible for royalties.  This option incurs an additional fee of $95.
Copyright Registration
  • ProQuest/UMI can apply for copyright registration on behalf of the student for an additional $55 fee.
  • Students do NOT need to submit an entire separate paper copy of their dissertation in order to apply for copyright registration through ProQuest/UMI.  One of the two (2) paper copies submitted for binding and intended for library retention, will be used for this purpose.
  • Students may wish to apply for registration on their own through the US Copyright Office.
  • Copyright registration is optional. Once the work is made available publicly, it is automatically copyrighted.
  • Questions regarding copyright should be addressed to ProQuest/UMI, the US Copyright Office, or faculty advisors. Library staff cannot advise students whether or not to register their work for copyright.
Microfilm/Copyright Registration - Costs & Payment
  • Payment must be made at the time when the student submits his/her dissertation to the library.
  • Please see the Microfilming Form for cost and payment information.
  • Note: Cash, credit cards, debit cards, and university ID accounts cannot be accepted as payment for microfilming, copyright registration, or Open Access publishing.

Theses and dissertations of Hartt students that meet all library and departmental requirements should be brought to Cyndi Adamo at Mortensen Library.
  • Office hours are 8:30am to 4:00pm, Monday-Friday.
